Privacy notice for Finance Payment & Suppliers

This Privacy Notice provides essential information about how Buckinghamshire New University (BNU or the University) handles your personal data and the rights you have in relation to how we use your data. 

BNU is a registered data controller and is responsible for looking after the personal data that you provide to us. We are committed to complying with the data protection principles set out in the Data Protection Act 2018 in a clear and transparent way.

This privacy notice explains when and why we collect personal information about you, when we setup a supplier creditor account and when we process requests for payment.

We collect and use your information for the following purposes.

Purpose 1: To create a supplier account.

We will use your information to create a supplier account in order to create invoices for products and services that you have received and to collect the fee for this. 

Purpose 2: To manage the payment of creditors.

To allow us to pay individuals.

To process your personal data, the University must have a basis in data protection law. We will broadly rely on:

Contract Article 6 (1)(b).  The use is necessary for us to set up a contract, ensure payment can be made to an individual and to satisfy your contract with us. We are legal obliged to submit statistical data and reports to satisfy various agencies that the University follows financial regulations. This legal basis will be used to achieve the following purposes:

  • Purpose 1: To create a supplier account.
  • Purpose 2: To manage the payment of creditors.

Your data will, or may be shared with the following recipients:

  • Auditors
  • Government Bodies
  • Our debt collection agency

Limited personal data will, or may, be shared with contracted third parties to enable provision of services for the purposes of supporting the financial function of the College. This includes Unit 4.

Your data will be retained in the University’s finance records system for six years from the end of the academic year and in accordance with the finance records system retention schedule; a summary of which can be accessed here.

The following rights apply to the personal data collected in this notice. Please contact dpofficer@bnu.ac.uk  if you wish to exercise your rights: 

  • Right of access to confirmation of processing and copies of your personal data
  • Right to rectification if personal data we hold about you is incorrect
  • Right to restrict processing of your personal data
  • Right to complain to the Information Commissioner’s Office about how we handle your data.

In some circumstances you also have the following rights:

  • Right to object to our processing of your personal data
